We are seeking a Facility Support & Administration employee for a multinational company specializing in heavy machinery and industrial equipment.
The Facility Administrator primarily supports the Soft Facility Coordinator in administrative tasks
related to fleet, CSRD & GHG, waste, energy management, small supplies, and safety clothing. The
role also includes maintaining and expanding our Facility Management Information System
(Ultimo) to streamline operations.
The Facility Team ensures a healthy, safe, and cost-effective working environment by maintaining
and upgrading our assets, including building infrastructure and equipment.
The team operates in three main areas:
• Soft Facilities: Cleaning, fleet, catering, green areas, etc.
• Hard Facilities: Building infrastructure and equipment.
• Projects.
1. Communication & Coordination
• Register, dispatch, and monitor requests across facility domains.
• Act as liaison with the employees, contractors, and suppliers.
• Translate completed tasks and delivered goods into accurate administrative records.
2. Administration
• Ultimo (FMIS): Maintain up-to-date system data, create monthly reports, and implement new
modules to improve operations.
• Soft Facilities: Manage fleet, safety clothing, small tools, and waste processes.
• ISP (Invoice & Purchase System): Verify delivery notes, work orders, and invoices.
• Energy Management and CSRD Reporting.
3. Continuous Improvement
• Initiate and execute projects to optimise facility services and simplify administration.
Who are you ?
High school diploma or Bachelor’s degree or facility management experience is an
asset.
